Merch Vendor Information
What we're looking for:
We are proud of the wonderful vending scene we have had in the past, full of variety, great merchandise, and friendly people! In order to keep the vending the best it can be and at a level that is beneficial to vendors and festival goers alike, we are asking for detailed descriptions of booths. We are especially interested in handmade clothing, arts and crafts, particularly from Kentucky and surrounding regions.
Expectations:
• Set up is 10am-6pm the day before the festival begins, which is usually a Wednesday. If you need to arrive later you MUST contact Brenda in advance and your choice of spots will be very limited. **ALL VENDORS MUST CHECK IN WITH A STAFF MEMBER WHEN YOU ARRIVE TO GET YOUR WRISTBANDS AND YOUR BOOTH LOCATION APPROVED.
* Spots are available on a first-come, first-served basis. Some spots are located next to the Kids Village; if you have children you may want to request this area upon your arrival.
* You should be open and ready to sell on the first day of the festival. You may determine the hours you are open.
• Set-ups need to be self-contained; tents, tables, chairs will not be provided.
• Electricity is provided in some, but not all, locations. It's a good idea to bring an extension cord. Electricity may only be used for lights or other low wattage devices - no coffee makers, hot plates, or other energy-sucking appliances.
• Music played at your booth should be at a respectable volume and turned off when there is music on the stages.
• Vendors may stay one day after the festival is over to break down and clean up. Vendors are expected to LEAVE NO TRACE and completely clean up their vending area before leaving. Stays longer than one day must be approved in advance.
• Vendor participates in the event at his/her own risk. In case of inclement weather or other Acts of God, vendor agrees to accept full responsibility for profits or loss, any missing or stolen items, or damage to person or personal property. If damage to public property/venue is incurred by vendor or representative participating in the event, he/she will be held liable for the repair or replacement of the damaged property. This applies to, but is not limited to, such items and areas as exterior fencing structures, buildings, electrical equipment, trash cans, landscaping, tents and any other facilities or equipment.
• Merch vendors may not sell food or beverages of any kind.
Regulations:
Vendors are responsible for all applicable Kentucky state sales and use taxes.
Absolutely no drug paraphernalia of any kind permitted for sale. Any paraphernalia for sale will be confiscated and your vending privileges will be forfeited.
No copyrighted designs.
No alcohol may be sold, Mercer County is a dry county.
All vendors and festival goers must abide by all local, state, and federal laws. No alcohol or drug sales will be tolerated anywhere on the festival site. Anyone caught selling or distributing illicit substances will be ejected from the festival and further legal repercussions are likely.
There will be no vending passes sold at the gate. There will be no vending allowed in the campground whatsoever.
Cancellation Policy:
Vendors must give at least twoweeks notice of intent to cancel participation in the festival. $50 of the booth fee is nonrefundable; the remainder of the booth fee will be refunded up to two weeks before the start of the festival. Important: if you have been invited but are not able to attend, PLEASE contact Brenda and let her know so your spot can be given to someone else.
Merch Booth Fees:
$150 for Single Booth (10' wide; includes ONE weekend ticket, vehicle access to vending area, free camping behind or near your booth)
$250 for Double Booth (20' wide; includes ONE weekend ticket, vehicle access to vending area, free camping behind or near your booth)
Tickets for other workers can be purchased with the booth fee (PayPal) or on site (cash), with no extra fees added on. Children 12 and under are free. Additional vehicles will be charged a $5 parking fee. Camping near booth is limited to 1 camper or 2 tents. $40 fee for dogs.
Single or Double applies to the road frontage, the depth depends on the particular space. Please note that any Single booths that are larger than 10’ wide will be charged an extra booth fee on site if not paid for in advance, in fairness to those who purchase a Double booth.
VENDOR SPACES ARE LIMITED AND MAY SELL-OUT, SO APPLY EARLY!!! PAYMENT IS EXPECTED AT THE TIME YOUR APPLICATION IS ACCEPTED; IF PAYMENT IS NOT RECEIVED WITHIN THREE WEEKS OF THE START OF THE FESTIVAL YOUR SPOT MAY BE GIVEN TO SOMEONE ELSE.

BLANKET VENDING OPTION
Not enough merchandise to afford a booth? Only want to vend a few hours a day or just 1 or 2 days of the festival? Blanket Vending may be for you.
• The fee is $40.00 per day and includes one Blanket Vendor permit that allows vending only in the vending area during daylight hours.
• No tents, vehicles or structures of any kind are permitted.
• Blanket vending of food is not permitted.
• Space allotments allow for one standard full-size blanket.
• No camping is allowed in this area. All merchandise must be put away by dark each day.
• This permit does not include admission to the festival for the vendor. You must purchase a ticket to the festival.
Blanket Vending permits can be purchased at the General Store after your arrival at the festival.
